The Opportunity:
Are you the meticulous professional who forms the backbone of a high-performance technical team? We are seeking a Maintenance Administrator to be the pivotal support for our clients busy workshop operations. You will be the engine room behind the scenes, ensuring the critical data that drives our maintenance strategy is accurate, timely, and flawlessly managed. In this fast-paced role, you will be central to the smooth operation of their fleet, enabling skilled technicians to perform at their best.
Duties and Responsibilities:
- Manage Critical Maintenance Data: Ensure the accurate and timely entry of data into our maintenance management system, including processing timesheets, parts allocation, and service records.
- Raise and Process Work Orders: Take responsibility for the full lifecycle of work orders, from creation and allocation to processing technician notes and closing out upon completion.
- Coordinate with Workshop Staff: Act as a key liaison between the workshop floor and the planning team, communicating updates and ensuring a smooth flow of information.
- Process and File Technical Reports: Manage documentation related to fleet maintenance, including service reports, pre-start checks, and ideally, reports from engine rebuilds and Dyno testing.
- Maintain Fleet and Asset Records: Ensure all digital and physical records for each piece of equipment are up-to-date and compliant with company standards.
- Assist with Parts & Consumables: Provide administrative support to the parts department, assisting with basic ordering, stock-taking, and processing invoices.
- Provide Comprehensive Administrative Support: Handle general administrative duties for the maintenance department, including answering phones, managing emails, and supporting the leadership team as required.
- Core Experience: A minimum of 2 years' experience in a dedicated administrative or data entry role. Previous experience within a heavy industry, transport, manufacturing, or workshop environment is highly advantageous.
- Technical Familiarity (Highly Desirable): Ideally, you will have some familiarity with fleet maintenance processes, heavy vehicle terminology, and workshop operations. Specific exposure to Dynoway processes would be a significant advantage.
- Systems Proficiency: High-level data entry skills with exceptional speed and accuracy. Strong proficiency in the Microsoft Office Suite (Excel, Word, Outlook) is essential.
- Organisational Mastery: Exceptional attention to detail with the ability to manage a consistent workload effectively without compromising on quality or accuracy.
- Personal Attributes: A proactive, "can-do" attitude with strong organisational skills. You are a reliable team player who can also work autonomously and take ownership of your tasks.
- Monday to Friday role (38 hours per week).
